About the Role

Our client is seeking a Shipping Coordinator with a strong focus on export and a working knowledge of imports. Experience with air freight and road freight is a bonus. The role involves working within the Shipping Team to develop and improve the ambitions of the Shipping Department, managing & administrating all processes for exports including major exhibitions, art fairs and exhibition imports when required.


Specific responsibilities include:

  • To keep up to date on all HMRC and other legislation and company procedures, to complete all necessary documentation and keep all records accurately.
  • To ensure that all practical arrangements for export and import shipments are made, liaising with clients (art galleries, etc), working with transport, packing and storage departments to this end.
  • To complete Export & import documentation for road freight, airfreight, sea freight & exhibition shipments.
  • Ensuring all quotations are made within a timely manner.
  • Ensuring all shipments are invoiced in timely manner.
  • Ensuring all clients are kept informed as to all stages of their shipments and receive all relevant copy documentation.
  • Where necessary and when requested by client, to oversee other aspects of shipping processes including, local/storage/import work.
  • To attend operations meetings.
  • To maintain and update the company’s internal shared documents covering all imports.
  • To comply with the requirements within the company’s Staff Operations Handbook and Quality Management System.
  • To arrange collections and deliveries with the client in consultation with the transport manager and make practical arrangements directly with our clients to ensure smooth collections and deliveries as required.
  • To arrange packing as required in a suitable manner, supplying packing room department with full packing sheets and relevant information.


Candidate specifications:

  • At least 2-4 years of experience in art export logistics, ideally combined with import.
  • Experience with export & import documentation for road freight, airfreight, sea freight & exhibition shipments.
  • Experience with major art exhibitions and fairs.
  • Prior experience from a major art logistics company.
  • Great communications and interpersonal skills.
  • A team player.

Schedule: full-time on site (1 WFH day per week is available depending on experience and discussion with the line manager)
