About the Role

Essential requirements: 

  • Several years’ experience in shipping, customs paperwork and export/import license applications from European countries and the US. 
  • In depth understanding of AML requirements.
  • Fluent in written and spoken English


Customs and shipping:

  • Import and export of all objects, for purchases, sales and fairs. All associated licenses and documents.
  • Customs paperwork, manage Temporary Admission and Bonded Warehouse
  • iCustoms inputs for TA-W / W-TA / TA-HU transfers  
  • UL export license applications
  • Track and manage all purchases by the gallery
  • Ensure all objects arrive at the gallery
  • Ensuring safe receipt of all paperwork and objects
  • Managing the relationship with the selected shipping agent, including the gallery's objects held there  


Finances:

  • Generate all invoices and send them to clients. 
  • Ensure invoices are settled and Directors are kept abreast of any issues.
  • Liaising with the bookkeeper on all financial activity, especially purchases and sales, and budgeting
  • Insurance (art fairs, off-site and onsite)
  • Liaising with the client manager
  • Petty cash, foreign currency management, and reconciliation   
  • Statement of accounts and debt chasing   
  • Aware of tax in relevant countries UK & EU VAT, US Sales Tax
  • AML implementation and staying abreast of changes
  • Drafting and maintaining consignment agreements and loans 

Database management for:

  • Shipping info, license info


Secretarial work:

  • Keeping weekly minutes and a ledger


Object management

  • Registrar 
  • In-house packing and crating


Salary: c.£40,000-50,000 p/a 

Monday to Friday (9am -6pm), based at the gallery. On occasion will be required to work at art fairs abroad, and to work over weekends in the UK and abroad when required for art fairs/exhibitions, for which working from home days to be given in lieu at the discretion of the Directors.
