About the Role

Our client is seeking a full-time permanent Registrar with at least four years of previous experience to be part of an extremely motivated and focused team.

The Registrar will oversee the details and logistics associated with the shipment of incoming and outgoing artwork, assist with exhibition and art fair logistics, supply clients with crating and shipping estimates, and manage and update the artwork database and image archive. The candidate should be well-versed in the language of loan and consignment agreements. Additionally, the candidate should have an in-depth understanding of the legal structuring around international shipments and how to handle the nuances of serving collectors’ needs. The candidate must have a strong existing knowledge of current customs procedures in all parts of the world. Knowledge of museum-level practices is a must as the gallery works closely with institutions. The Registrar should have the ability to manage and execute large-scale projects, both at the gallery and elsewhere, whilst simultaneously addressing requests that arise day to day in an efficient and timely manner. Working as part of a small team, the Registrar must be open to assisting with the wider needs of the gallery when necessary. The Registrar will work very closely with the other members of the gallery team to share information on best practices regarding the movement of artworks for exhibitions and sales. The Registrar will also organise and oversee photography and the management of all images on the database and elsewhere.  


Candidate requirements:

  • At least 4 years in a similar role in a commercial art gallery setting (or a similar environment)
  • Highly organised with excellent attention to detail
  • Knowledge of contemporary art and the workings of a gallery are necessary
  • A high level of experience in using Artlogic is desired
  • Excellent experience in client-facing
  • Possessing good interpersonal skills is necessary
  • A strong level of written English is essential
  • Possess a long-term commitment to the gallery 


Summary
of responsibilities includes (but is not limited to):

  • Accurate management of gallery inventory, including the gallery database as well as both on-site and at several off-site storage facilities in the UK, USA, Europe and Asia
  • Liaising with institutions, clients and artists’ studios to provide estimates for, and organise, incoming and outgoing shipments of artwork
  • Coordinating and supervising the movement of artwork with shippers and storage facilities
  • Ongoing management of import, export, TA and Bond status of works
  • Administering thorough internal and formal condition reports for incoming loans, consignments and new inventory, both onsite and offsite
  • Keeping gallery staff informed of consignment details and dates
  • Overseeing professional photography and maintaining all photographic records
  • Assisting with the implementation and adherence to Anti-Money Laundering regulations and KYC practices
  • Maintaining positive relationships with our artists, clients and suppliers 

Occasional Saturday work in lieu of a weekday
