About the Role

Our client is an artist represented by international galleries in the US, Mexico, Asia, and Europe, and has exhibited widely in museums and institutions worldwide.

The Personal Assistant provides strong teamwork, planning, and organisational skills to the artist’s studio. They serve as the direct point of contact and central link between the artist, the Studio Manager, and the various institutions and galleries the artist works with.

This person should have a strong sense of responsibility, administrative ambition, and the agility to respond to time-sensitive issues - prioritising efficiently and communicating clearly.

As Personal Assistant, you will collaborate closely with the Artist and Studio Manager to provide one-to-one support by:

  • Monitoring emails and drafting communications on their behalf
  • Planning and organising meetings and travel
  • Managing the artist’s schedule and social calendar
  • Offering general administrative and logistical support

Key Responsibilities

  • Monitor and report on the Artist’s emails, responding when required
  • Manage the artist's personal schedule, travel arrangements (flights, hotels), and personal needs
  • Act as liaison between the Artist and Studio Manager
  • Support day-to-day studio operations with the Studio Manager
  • Prepare and draft communications on behalf of the studio
  • Organise and plan meetings, take notes, and write minutes
  • Conduct or prepare research as required by the Artist

Candidate Profile

  • Minimum 3 years’ experience in the art field (artist’s studio, gallery, institution, etc.)
  • Solid knowledge and understanding of the contemporary art landscape
  • Proficiency in English and atleast A2 level in German is essential; French a plus
  • Excellent written and verbal communication and presentation skills
  • Highly organized, with strong multitasking and time management abilities
  • Dynamic, flexible, and positive attitude, even in unconventional situations
  • Strong attention to detail and discretion
  • Holds a valid driver’s license
  • Proficient in common software tools; familiarity with Artlogic is advantageous
